What to expect when you hire a freelance UX designer: process, timeline, deliverables

By Pranjal Agarwal · Published · Updated · 3 min read

When you hire a freelance UX designer, expect a structured project of roughly three to six weeks that moves through discovery, research, structure, design and handoff. At the end you should receive user flows, wireframes, a clickable prototype and final screens your developer can build from. This guide walks through each stage the way I run my own projects, including how long each step takes and what I will ask from you along the way.

Step 1: Discovery call (days 1 to 3)

The project starts with a conversation, not a design file. On the discovery call I want to understand what you are trying to achieve, who your users are, what has already been tried and what success would look like in three months. I also ask about budget and deadlines so the plan is realistic.

After the call you receive a short written brief and a quote. This brief becomes our shared reference for the rest of the project, so it is worth reading carefully and correcting anything I have misunderstood.

Step 2: Research (week 1 to 2)

Research is where a good freelance UX designer earns their fee. Depending on the project, this might mean interviewing five to ten users, running a short survey, reviewing competitor products or studying your analytics and support tickets.

The goal is to find out what is actually getting in the way of your users, which is often different from what the team assumes. On the Synapsis healthcare project, more than fifty remote interviews with new residents revealed that the real problem was not missing information but information arranged in the wrong order.

Step 3: Structure and user flows (week 2)

Before anything looks pretty, I map how the product works. This includes the information architecture, which is how content and features are grouped, and user flows, which show the steps a person takes to complete a task.

This is the cheapest stage to make changes. Moving a box on a flow diagram takes minutes; moving a feature after development takes weeks. I encourage clients to challenge the structure here as much as they like.

Step 4: Wireframes, prototype and visual design (week 3 to 4)

Wireframes are simple layouts that show what goes where on each screen. Once they are approved, I connect them into a clickable prototype so you can tap through the product as if it were real. This is often the moment teams spot issues that were invisible on paper.

Then I move into high fidelity design: colour, typography, imagery and every state of every component, including errors, empty screens and loading states. You get two rounds of revisions at the wireframe stage and two at the final design stage.

Step 5: Handoff and support (week 5)

Handoff is when the design becomes something your developer can build. A good handoff includes:

  • Organised Figma files with clearly named pages and screens
  • A small component library with buttons, inputs and cards
  • Notes on spacing, interactions and edge cases
  • A walkthrough call with your developer
  • A short period where I answer build questions

What you need to provide

The projects that go smoothest have three things on the client side. First, one decision maker who can approve work quickly. Second, access to real users or customers for research. Third, honest information about what has not worked before. With those in place, a freelance UX project usually runs on time and on budget.

How to tell if a freelance UX designer is right for you

Look at case studies, not just screenshots. A strong case study shows the problem, the research, the decisions and the reasoning, not only the final screens. Ask how they handle feedback and what happens if the project needs to change direction. And make sure their process includes talking to users, because design without research is guessing.
